Administrative Assistant

On behalf of our client in the Consulting Sector, PROCOM is looking for an Administrative Assistant for a short term contract.

Administrative Assistant - Job Description

  • Document Preparation and Coordination – Coordinate, prepare, edit and or proofread standard and non-standard documents such as correspondence, presentations, and reports using Microsoft Word, Excel, and PowerPoint. Organize, coordinate and prioritize all incoming and outgoing information/correspondence. Ensure branding compliance for all correspondence. Draft complex presentations slides using PowerPoint.
  • Correspondence Support – Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution. Prepare responses to correspondence containing routine inquiries.
  • Calendar Management –Proactively and independently manage calendar conflicts.
  • Meeting Management - Coordinate and organize meetings (conference calls, video conferences, in person etc.). 
  • Expense/Time reporting – Complete and ensure timely submission of time and expenses reports for the CMO and the Executive Directors.
  • Other administrative tasks as assigned.
  • At times, business needs arise and employees are required and agree to work beyond their normal work day or work week to fulfill the accountabilities required for their job. Likewise, people need extra time to devote to personal matters, and our approach to flexibility provides for this.

Administrative Assistant - Mandatory Skills

  • 3 – 5 years general administrative experience
  • General correspondence, letters, memos etc
  • Processing client engagement letters
  • Invoicing a must
  • Experience with SAP Financials would be beneficial but not required
